1. Introduction

BioMeetUp is operated by BIOTRIAL PARTNERS PTY LTD (ACN 686 373 366, ABN 40 686 373 366) (“BioMeetUp”, “we”, “us” or “our”).

BIOTRIAL PARTNERS PTY LTD is responsible for the personal data described in this Privacy Policy and acts as the data controller where applicable under relevant data protection laws.

This Privacy Policy explains how we collect, use, disclose and protect personal data when you visit our website, create or use a BioMeetUp account, interact with the BioMeetUp platform (the “Platform”), or otherwise engage with us.

We process personal data in accordance with applicable privacy and data protection laws, including the Privacy Act 1988 (Cth) and Australian Privacy Principles, and the General Data Protection Regulation (GDPR) and UK GDPR where they apply.

BioMeetUp is primarily a professional, business-to-business platform for the life sciences ecosystem.

2. Information We Collect

We collect personal data in three main ways.

2.1 Information You Provide

Depending on how you interact with BioMeetUp, this may include:

  • name and professional contact information;
  • account and login information;
  • employer, company and professional profile information;
  • preferences, interests and goals;
  • messages and other communications;
  • content, documents and information you choose to upload or provide;
  • subscription and transaction information; and
  • information you provide when contacting us for support or other enquiries.

You are responsible for ensuring that information you provide is accurate and that you have the right to provide any personal data relating to another person.

2.2 Information Collected Automatically

When you use our website or Platform, we may automatically collect technical and usage information such as:

  • IP address;
  • browser and device information;
  • login and session information;
  • pages and features accessed;
  • interactions with the website and Platform; and
  • cookie and similar technology information.

For further information about our use of cookies and similar technologies, please see our Cookie Policy.

2.3 Professional Information From Public and Other Sources

BioMeetUp helps users discover and understand organisations and professionals within the life sciences ecosystem.

We may therefore collect professional and business-related information from publicly available and other lawful sources, including:

  • company and organisation websites;
  • public databases and registries;
  • publications, announcements and other publicly available materials; and
  • information provided or authorised by organisations or users.

This may include information such as an individual's name, professional role, employer, business contact information and other information relating to their professional activities.

We use this information to develop and maintain professional and organisational profiles, improve the accuracy and usefulness of the Platform, and support discovery, search, matching and related Platform functionality.

3. How We Use Personal Data

We may use personal data to:

  • create and manage accounts;
  • provide, operate and maintain the Platform;
  • maintain professional and organisational profiles;
  • enable search, discovery, matching and networking functionality;
  • provide messaging and other communication features;
  • personalise relevant aspects of the Platform;
  • process subscriptions and transactions;
  • provide customer support and service communications;
  • analyse, maintain and improve the Platform;
  • measure the effectiveness of our advertising, where you have consented;
  • protect the security, integrity and availability of our services;
  • prevent, investigate or address misuse, fraud or unlawful activity;
  • comply with applicable legal and regulatory obligations; and
  • establish, exercise or defend legal rights.

Where applicable law requires us to identify a lawful basis for processing, we may rely on one or more of the following:

Performance of a contract — where processing is necessary to provide services you have requested or to take steps at your request before entering into a contract.

Legitimate interests — including operating, securing, improving and developing BioMeetUp and facilitating professional discovery, intelligence and networking, where those interests are not overridden by applicable individual rights and interests.

Consent — where we ask for and rely on your consent for a particular processing activity.

Legal obligations — where processing is necessary for us to comply with applicable law.

Where we rely on consent, you may withdraw that consent at any time. Withdrawal does not affect the lawfulness of processing carried out before consent was withdrawn.

4. Artificial Intelligence and Data Processing

BioMeetUp uses artificial intelligence and other computational technologies to support Platform functionality such as:

  • Goal AI Matching;
  • search and discovery;
  • generation of summaries and insights; and
  • organisation and analysis of relevant Platform information.

These systems may process information you provide together with relevant professional, company and Platform information to generate results.

AI-generated results are intended to assist discovery and evaluation. They may be incomplete or inaccurate and should not be treated as professional advice or as a substitute for independent judgement.

BioMeetUp's AI functionality is not intended to make solely automated decisions that produce legal or similarly significant effects on individuals.

We do not permit personal data submitted to BioMeetUp to be used by our third-party AI service providers to train their general-purpose models unless expressly disclosed and permitted.

We may use aggregated, de-identified or anonymised information to analyse, develop and improve our systems and services where that information no longer identifies an individual.

5. How We Share Personal Data

We disclose personal data only where reasonably necessary to operate BioMeetUp, provide our services, comply with applicable law, or as otherwise described in this Privacy Policy.

5.1 Other BioMeetUp Users

BioMeetUp is a professional discovery and networking platform.

Professional profile and organisation information may therefore be visible to other users according to Platform functionality, account settings and applicable access permissions.

Information that you choose to publish or make available through a professional or organisation profile may be discoverable by other authorised users of the Platform.

Private messages and private account information are not made publicly available through profile functionality.

5.2 Service Providers

We use trusted third-party service providers to support functions such as:

  • hosting and cloud infrastructure;
  • authentication and data storage;
  • payment processing;
  • artificial intelligence and data processing;
  • analytics and advertising measurement;
  • communications;
  • mapping and other Platform functionality; and
  • security and operational support.

These providers may process personal data only as necessary to provide services to BioMeetUp and subject to appropriate contractual, confidentiality and data protection obligations.

Some service providers may process information in countries other than the country in which you are located. International transfers are addressed further in Section 10.

5.3 Professional Information Within BioMeetUp

BioMeetUp may provide authorised users with access to professional and business information about individuals and organisations within the life sciences ecosystem, including names, professional roles, employers and business contact information where available.

Such information may originate from publicly available sources, information supplied by users or organisations, or other lawful sources.

BioMeetUp does not sell personal data to third parties for independent marketing or resale purposes.

Users must use personal data available through BioMeetUp lawfully, in accordance with our Terms and applicable privacy, electronic communications, direct marketing and anti-spam laws.

Unauthorised extraction, scraping, redistribution or creation of external databases from personal data available through BioMeetUp is prohibited in accordance with our Terms.

5.4 Legal and Business Requirements

We may disclose personal data where reasonably necessary:

  • to comply with applicable law, regulation, legal process or a lawful governmental request;
  • to protect the rights, safety, security or property of BioMeetUp, our users or others;
  • to investigate or prevent fraud, misuse or security incidents;
  • in connection with legal proceedings or the establishment, exercise or defence of legal claims; or
  • in connection with a merger, acquisition, financing, reorganisation, sale or transfer of all or part of our business or assets, subject to applicable legal requirements and appropriate safeguards.

6. Data Retention

We retain personal data only for as long as reasonably necessary for the purposes for which it was collected, including to provide the Platform, maintain appropriate business and transaction records, meet legal or regulatory requirements, resolve disputes, enforce agreements and protect the security and integrity of our services.

Retention periods vary depending on the nature of the information, the purpose for which it is processed and applicable legal requirements.

When personal data is no longer required, we take appropriate steps to delete, anonymise or otherwise securely dispose of it, subject to applicable legal, regulatory and legitimate record-keeping requirements.

Aggregated or anonymised information that no longer identifies an individual may be retained and used for analytical, statistical and service-improvement purposes.

7. Your Privacy Rights

Depending on where you are located and the laws that apply, you may have rights concerning your personal data.

These may include the right to:

  • request access to personal data we hold about you;
  • request correction of inaccurate or incomplete personal data;
  • request deletion of personal data in certain circumstances;
  • request restriction of processing;
  • object to certain processing, including processing based on legitimate interests;
  • receive certain personal data in a structured, commonly used and machine-readable format;
  • withdraw consent where processing is based on consent; and
  • lodge a complaint with an applicable privacy or data protection authority.

These rights are subject to applicable legal conditions, limitations and exemptions.

To exercise a privacy right, contact info@biomeetup.com.

We may request information reasonably necessary to verify your identity and protect personal data from unauthorised disclosure before responding to a request.

If BioMeetUp holds professional information about you that you did not provide directly, you may also contact us to request access, correction, deletion or other action where applicable.

8. Security

We use appropriate technical and organisational measures designed to protect personal data against unauthorised access, disclosure, alteration, loss, misuse or destruction.

These measures include appropriate access controls, data protection measures, monitoring and security procedures.

We periodically review and develop our security practices in light of the nature of the information we process and relevant risks.

However, no internet-based service, transmission method or method of electronic storage is completely secure, and we cannot guarantee absolute security.

9. Cookies and Similar Technologies

BioMeetUp uses cookies and similar technologies that are necessary to operate our website and Platform.

We may also use analytics technologies to understand how our website and Platform are used and to improve our services, subject to applicable consent requirements.

With your consent, we use advertising measurement technologies provided by Google to understand whether our own Google advertising led to a BioMeetUp account being created. This involves an advertising click identifier and a record that a registration was completed, with general, non-identifying details. We do not send your name, email address, company or account identifier for this purpose, and we do not use cookies for remarketing or personalised advertising. You can decline or withdraw this consent at any time.

You can find further information about the cookies and similar technologies we use, their purposes and available controls in our Cookie Policy.

10. International Data Transfers

BioMeetUp operates in an international life sciences ecosystem and may use service providers or process personal data in countries other than the country in which the information was originally collected or in which you are located.

Privacy and data protection laws may differ between countries.

Where applicable law requires safeguards for international transfers, we use appropriate measures, which may include adequacy decisions, contractual safeguards such as Standard Contractual Clauses, or other legally recognised transfer mechanisms.

Where Australian privacy law applies, we take reasonable steps in relation to overseas disclosures as required by applicable law.

You may contact info@biomeetup.com for further information about safeguards applicable to relevant international transfers.

11. Sensitive Personal Data

BioMeetUp is designed primarily for professional and business information and does not ordinarily require users to provide sensitive or special-category personal data as part of normal use of the Platform.

Please do not provide sensitive personal data unless it is necessary for a specific purpose and appropriate to do so.

Where BioMeetUp processes sensitive or special-category personal data, we will do so only where permitted by applicable law and with any additional safeguards or lawful basis required.

12. Children

BioMeetUp is a professional, business-to-business platform and is not intended for individuals under 18 years of age.

We do not knowingly collect personal data from children through the Platform.

If you believe that a person under 18 has provided personal data to BioMeetUp, please contact info@biomeetup.com.

13. Personal Data Breaches

We maintain procedures for identifying, assessing and responding to personal data breaches.

Where a personal data breach is subject to notification requirements under applicable law, we will notify the relevant regulatory authority and/or affected individuals within the timeframes and in the circumstances required by that law.

14. Privacy Complaints

If you have a question or complaint about how BioMeetUp handles your personal data, please contact us at info@biomeetup.com.

We will review privacy complaints and respond in accordance with applicable law.

Depending on where you are located, you may also have the right to lodge a complaint with the privacy or data protection authority responsible for your jurisdiction.

In Australia, this may include the Office of the Australian Information Commissioner (OAIC).

If the GDPR or UK GDPR applies to you, you may have the right to complain to the competent supervisory authority in the European Economic Area or the United Kingdom.

15. Third-Party Links

Our website and Platform may contain links to websites, applications or services operated by third parties.

BioMeetUp does not control those third parties or their privacy practices, and this Privacy Policy does not apply to personal data processed independently by them.

We encourage you to review the applicable privacy information before providing personal data to or using third-party websites or services.

16. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes to our services, data practices, legal requirements or other operational circumstances.

The current version will be published on our website and will identify the date it was last updated.

Where required by applicable law, or where a change materially affects how we process personal data, we will provide additional notice or obtain consent where required.
